Royal Mail tracking problem was created by Rococo
Hello, I am looking for anyone with experience of sending letters to the DWP via the signed for service which is supposed to do a version of tracking, or so i was led to believe.

Does the tracking show anything other than when it left the post office and then a signature when its been accepted by this third party company who apparently open mail for the DWP? I paid for this 'service' a few weeks ago, other than tracking showing the time it was accepted at the post office there is nothing, it never updated, no 'accepted by Royal Mail at' as i would have expected having had packages delivered via tracking before, no signature the other end.

Royal Mail refused to look into it claiming there was no such thing as a real signed for service for places such as the DWP because of this third party company and that if there is no signature thats because its sitting at their sorting office. Is this likely or even possible after weeks not days? I paid for the service to protect myself and either Royal Mail never processed it properly or DWP have either lost it or there is such a backlog a letter can be waiting this long?

My benefits will now likely be stopped as i missed the deadline for response. Please do not suggest i call DWP, this has already been done several times in the past and the person helping cannot do so at present. I am just looking for more information on this service and the DWP's sub contracting and how likely it is the DWP contractors messed up of Royal Mail. Thank you

Sorry for the delay in responding. In my experience, you only know that it has been left and opened by the third party. I can't tell you anything more, as your question is outside the remit of this forum.

Hi,

im confused that asking about a third party company that is the only way to get mail to the DWP is not covered in this forum, surely there is information about them somewhere here? Is it rare for mail to go missing with them even when signed for?

I understand saying Royal Mail is not covered here but my issue really is with this third party company as its the first time i have heard of it.

Hi Rococo

This forum is to help claimants apply for disability benefits, MR and Appeals, as BIS has stated your question about delivery of post by Royal Mail is outside the remit of the forum.

It is not uncommon for post to go missing even when you send it by recorded delivery, which is why we advise claimants to keep a copy of their form in case it does go missing.

I always advise claimants to contact DWP a few days after posting to check that they have received the form, I quote them the recorded delivery number.

There have been occasions where the form has not been received, in which case I will send them a copy of form I sent in + supporting documents, again by recorded delivery.

Due to the volume of mail received on a daily basis by the DWP, like most large corporations they use external companies to scan files on to their system, I am not aware if DWP use external companies to scan all their mail or only some of their mail coming in to them, but they receive thousands of items a day and some do go missing.

The "third party" used to be, maybe still is, the Royal Mail! Their staff are acting under contract to the DWP in their Mail Centres and as such are effectively DWP staff to all intents and purposes.

The difficulty that any signed for letter or parcel faces is that the system is designed for a single item to be delivered to a single person who can then sign for it.

The DWP receives mail by the cage full, the Royal Mail registers which items with tracking are in which cage and the Mail Centre staff confirm receipt of the cage, which is presented as your delivery date and time.

Problems occur when RM puts a letter in the wrong cage, Mail Centre staff fail to scan the item or having scanned it, attach the electronic copy to the wrong person or worse still to nobody, the latter is actually the most common issue apparently and whilst the DWP do have a fall back system for this it can add weeks to a process that already takes the best part of ten days to complete.

FWIW, ive noticed when you put stamps on it and take to post office for signed delivery it more often then not wont get signed for(you then dont know where it is) (when you complain to RM they send you book of stamps) If you send it where you buy the postage over the counter (sticker postage), to date mine have AFAICR always got signed then you download the proof of receipt.
I dcided to use the rest of the old stamps i had that there gona stop us using soon, took to P/O they stuck the orange barcode on it and low and behold now 5 weeks, its still showing (accepted at post office, hast got ant further then that x2)
ive even had this before.
