I'm afraid there is no good answer to this, however, you can up the anti, by making a formal Subject Access Request for your records rather than just a phone or simple written request.

The Data Protection Act requires a response within 40 days, and whilst there are circumstances where your practice can still refuse to supply the information, doing so because of lack of manpower would not be a reasonable reason.
